Full Time, Permanent, University of Hawaii at Manoa, Shidler College of Business, Executive Education Center. Annually renewable dependent on satisfaction performance and availability of funds.
Duties and Responsibilities: Responsible for the day-to-day management of the Vietnam Executive MBA (VEMBA) Program, under the supervision of the Director of Degree Programs at the Executive Education Center at the Shidler College of Business. Responsible for specific segments of the VEMBA Program admissions process: coordinates the receipt of applications from Vietnam offices, conducts application pre-review, conducts curriculum research to determine equivalencies. Disseminates the application packets to Graduate Division, ensures efficiency and completeness of application packets and follows up with applicants and/or departments as needed. Responsible for VEMBA student services: sets up, provides instruction and support for course registration; monitors academic progress including graduation check and temporary leave; and provides instruction and support on payment of tuition and program fees. Responsible for VEMBA fiscal processes: creates and sends invoices, receipts and statements as necessary; conducts audits of tuition payments and updates records; submits requests for scholarship postings; and follows up on outstanding tuition balances. Assist the Director for Degree Programs and Faculty Director with the editing and maintenance of the VEMBA Program Student Handbook to ensure that it is up-to-date. Manage logistical coordination of the VEMBA program for students, faculty and staff, including travel, summer courses, teaching assignments, and special events such as graduation. Serves as the first line of support to effectively handle student questions and to resolve student issues. Makes appropriate referrals as needed. Conducts research and makes recommendations to the Director of Degree Programs and Faculty Director on market studies for future programs/locations; correlation between work experience and student achievements; and learning needs and outcomes assessments. Serves as the point of contact for delegates traveling from Vietnam and other destinations, which may include working nights and/or weekends. Travel to Vietnam to assist with the negotiation of contracts with consultants at the Vietnam offices and/or to plan and execute special events in Vietnam such as graduation, etc. Other duties as assigned.
Minimum Qualifications: Possession of a baccalaureate degree in Business Administration, Education, and/or equivalent field of study and 3 year(s) of progressively responsible professional experience with responsibilities for Student Services and/or Higher Education; or equivalent education/training or experience. Considerable working knowledge of principles, practices and techniques in the Student Services and/or Higher Education as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with Student Services and/or Higher Education. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals. Demonstrated ability to operate a personal computer and apply word processing software. For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations. Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Knowledge of both the US and Vietnam education systems in order to assist with reviewing the applicant’s educational backgrounds. Ability to work nights, weekends, holidays, and travel intra-state and to international destinations.
Desirable Qualifications: Knowledge of the Vietnamese working calendar (holidays) to assist the VEMBA Program staff in Vietnam for coordinating the schedule. Familiarity with the cultures and standard operating procedures of Vietnamese universities to assist the Director of Degree Programs and Faculty Director to interface with Vietnamese partners. Possession of a graduate degree in a relevant field of study. Knowledge of Vietnamese language (read/write) to review and verify transcripts in Vietnamese and correspond with students.
